
RETAINER CLIENTS
A Retainer is when a company commits to a “service contract” for a set amount of time, generally six months to a year. The company agrees to pay a set amount every month for the duration of the contract. The services we perform are billed against the company’s monthly payment. The retainer client’s projects get priority over other projects.
For
example :- AVS suggest a monthly retainer of R4500 within which we will tackle
tasks as indicated. At our retainer
rate of R75 p/h, this would entitle the client to approximately 60 hours per
month or 3 hours per day.
We suggest that the above terms apply for a period of three months, as this is how long it would take to get an account up and running efficiently. If, after 3 three months the client is happy with the service supplied, the contract will remain as open ended with a 2 two-month notice period either way.
We
would also only take 15% rather than 25% Management fees on any hard-cost based
project for non-retainer clients. This retainer would mean that AVS would be
available for advice at any time, we would also keep our ear to the ground in
order to timeously let you know about special projects or associations that
could benefit you.
NON-RETAINER
CLIENTS
All
preliminary work is crucial to creating the best projects; we are incurring
billable hours and would be extending credit if the non-retainer client did not
pay a deposit.
No
project will be started without a 50% deposit and on signing of the acceptance
contract of the estimate or proposal or a purchased order authorization.
The remaining 50% will be paid COD (Cash on Delivery).
COSTING
You
only pay for the time spent on your project, prorated down to 15 minutes
increments.
CANCELLATION FEE
In
the case of a cancellation, the client will pay in full any costs incurred to
date.
URGENT
DEADLINES
An
additional 25% will be applied to the total cost of a project where an urgent
deadline is required. 24-48 hours
will be considered an urgent deadline.
DELIVERY
Delivery
of work will be done via email, overnight courier or a variety of other sources
depending on the task. On-site
service is also available in the Johannesburg Metropolitan Area.
ESTIMATES
When
sufficient information (a brief) is provided, we will submit a written estimate
or proposal of assignment schedule, costs, and terms and conditions.
If information is unavailable, pricing should be based on an hourly
labour rate with frequent reviews for time expended.
Estimates are valid for a period of 30 (thirty days) only.
CHANGES
It
is the customer’s responsibility to pay for any changes from the original
brief.
PREPARATORY MATERIAL
It
is the customer’s responsibility to supply all preparatory material unless
quoted otherwise.
PROOFS
A
signed proof is necessary before work can be completed. Requests must be made for revised proofs. AVS will not be
held responsible for errors if the customer doesn’t return a signed proof, or
if the customer asks for changes without the submission of proofs.
OWNERSHIP OF ARTWOR
In
the case of design, illustration, caricatures; AVS retains full copyright to use
this work for design competitions, future publications on design, educational
purposes and marketing materials.
SOFTWARE
All
services are being rendered using the latest software packages.
THIRD PARTY SHIPPING
AVS
will take no responsibility for delays that are caused by third parties e.g.
printers, service bureau, couriers etc.
INDEMNITY AGREEMENT
The
client agrees that AVS will not be held accountable or liable for any legal
action that may arise from any artwork the customer supplies.
PRIVACY POLICY
We
will not at any time or in any manner, either directly or indirectly, use for
the personal benefit of ourselves, or divulge, disclose, or communicate in any
manner any information that is proprietary to our clients.
We will protect such information and treat it as strictly confidential.
Upon termination of any agreement, we will return all records, notes, documentation and other items that were used, created, or controlled by us during the term of the agreement.
